A lot of HR systems now offer device tracking. The idea is simple: if employee records already live in your HRIS, why not manage laptops there too? It looks like a cleaner setup with fewer tools and fewer handoffs.

For many teams, this works well at the start. A new hire joins, a laptop is shipped, and it is tied to the employee record. When the employee leaves, the system reminds the team to retrieve the device. Platforms like Rippling and Deel have made this process easier, especially for remote teams.

A laptop might be purchased from one vendor, while another batch is sourced locally in a different region, and a few older devices are still in use from previous years. A new hire receives a device, then later changes roles and gets a replacement. The original laptop is returned, then stored, repaired, reassigned, or wiped for redeployment. At each step, the asset changes in status, location, and condition.

Limit 1: Inventory Is Often Incomplete

HRIS device tracking is often tied to its own procurement flow. If a device was not purchased or shipped through that system, it may not be fully captured.

A typical IT workflow might include a ticket for a new device request, approval and procurement, asset assignment, ongoing tracking, reporting for finance or audits, and preparation for redeployment. These steps often involve multiple systems and teams, and without a dedicated ITAM layer, they become fragmented. Teams end up relying on spreadsheets, manual updates, or switching between multiple systems.

 

Why These Limits Matter Over Time

At first, everything looks fine. Devices are assigned, and employees have what they need.

Over time, inconsistencies start to appear. A device cannot be located quickly, a report does not match reality, or an audit requires pulling data from multiple sources. Teams begin double-checking records or building workarounds.

The issue is not effort. It is visibility. When the system cannot reflect what is actually happening to the asset, the information cannot be relied on.

Was it purchased through your HRIS?
Where is it right now?
What condition is it in?
Is it compliant?
